How we handle your information.
This policy explains what personal information we collect when you visit renkovi.com or contact us, why we collect it, who else sees it, how long we keep it, and what choices you have.
01Who we are
Renkovi is a brand of Veyra Solutions, a US-based AI and automation services business headquartered in Leland, North Carolina, United States. For purposes of the EU GDPR, the UK GDPR, and the California Consumer Privacy Act (CCPA/CPRA), Veyra Solutions is the data controller (or, where applicable, the "business") for the personal information described in this policy.
Throughout this policy, "we," "us," and "Renkovi" refer to Veyra Solutions operating under the Renkovi brand. "You" refers to the visitor, prospect, client, or other individual whose personal information we process.
02What we collect
We try to collect as little personal information as possible. The categories below cover everything we receive through this website and our standard intake channels.
Information you give us directly
- Contact details — name, business email address, phone number (if provided), and the company you're with — when you email [email obscured] or use our published phone number.
- Booking details — when you schedule a consultation through our Calendly link, Calendly collects your name, email address, time zone, and any free-text context you add to the meeting, then forwards it to us.
- Project information — anything you choose to share about the workflow, system, or data you'd like us to help with.
Information collected automatically
- Server logs — when your browser requests a page, our hosting provider records the request (IP address, user-agent string, referrer, requested URL, timestamp). These are standard web-server logs used for security and reliability.
- No analytics, tracking pixels, or advertising trackers are loaded on this site.
03Why we collect it (and our lawful basis)
Under the GDPR we are required to identify a "lawful basis" for each purpose. Our purposes and bases are:
| Purpose | Lawful basis (GDPR Art. 6) |
|---|---|
| Responding to your inquiry | Legitimate interests — you contacted us first; we have a clear interest in replying. |
| Pre-contractual discussions and proposals | Performance of a contract / steps prior to entering a contract. |
| Delivering services to existing clients | Performance of a contract. |
| Securing the website and preventing abuse | Legitimate interests in network and information security. |
| Compliance with legal obligations (tax, accounting) | Legal obligation. |
We do not sell personal information, share it for cross-context behavioral advertising, or use it to train AI models.
04Third parties & processors
We use a small number of trusted vendors ("sub-processors" under GDPR Art. 28) to operate the site and our business. Each is listed below with what they receive and why.
| Processor | Purpose | Data shared | Location |
|---|---|---|---|
| Web hosting provider | Serves renkovi.com | IP address, request logs | United States |
| Calendly | Consultation scheduling | Name, email, time zone, meeting notes | United States |
| Email provider (e.g., Google Workspace) | Receiving and sending business email | Email content and metadata | United States |
We do not load Google Fonts, Google Analytics, Meta Pixel, or any other third-party tracker on this site. All fonts are self-hosted.
05Cookies & tracking
This website does not set any cookies. We do not use analytics cookies, advertising cookies, or local-storage tracking. If you click through to Calendly to book a consultation, Calendly will set its own cookies on its own domain — please refer to Calendly's privacy notice for details.
06International transfers
Renkovi is based in the United States, and all of the processors listed above are also located in the United States. If you contact us from the EU/EEA or the United Kingdom, your personal information will be transferred to and stored in the US.
For transfers from the EU/EEA, we rely on the EU−US Data Privacy Framework (adequacy decision adopted July 10, 2023) where our processors are certified, and on the European Commission's Standard Contractual Clauses (2021/914) as a backup mechanism. For transfers from the UK, we use the UK Addendum to the SCCs. You can request a copy of the safeguards by contacting us at the address below.
07How long we keep data
- Inquiry emails and Calendly bookings — up to 24 months from your most recent contact, after which they are deleted unless we are in an active engagement.
- Active client records — for the duration of the engagement plus 7 years, to meet US tax and contractual record-keeping obligations.
- Server logs — rotated and deleted by our hosting provider on a rolling 30–90 day window.
08How we protect it
The website is served over HTTPS with HSTS, modern TLS, and a Content Security Policy. Email and document storage are protected by single-sign-on with multi-factor authentication. Access to personal information is limited to people who need it to do their job. We review access and security configuration at least annually.
No system is perfectly secure. If we ever discover a personal-data breach that affects you, we will notify you and the appropriate supervisory authority within the timelines required by law (within 72 hours under GDPR, where applicable).
09Your rights (EU / UK / EEA)
If you are in the EU, EEA, or UK, the GDPR gives you the right to:
- request access to the personal information we hold about you;
- request correction of inaccurate information;
- request erasure ("right to be forgotten") in certain circumstances;
- request restriction or object to processing based on legitimate interests;
- request portability of information you provided to us;
- withdraw any consent you previously gave (without affecting prior processing);
- lodge a complaint with your national supervisory authority.
To exercise any of these rights, email us at the address in section 14. We will respond within one calendar month.
10Your rights (California)
If you are a California resident, the CCPA (as amended by the CPRA) gives you the right to:
- know what categories and specific pieces of personal information we have collected about you, the sources, the purposes, and any third parties we share with;
- delete personal information we have collected, subject to certain exceptions;
- correct inaccurate personal information;
- opt out of the "sale" or "sharing" of personal information — though, as noted, we do not sell or share personal information for cross-context behavioral advertising;
- limit the use of sensitive personal information — though we do not use personal information for any purpose that would trigger this right;
- non-discrimination — we will not deny you services, charge you a different price, or provide a different quality of service because you exercised any of these rights.
You may submit a request by emailing the address in section 14. We will verify your identity (typically by matching the email address you contact us from to the one on file) and respond within 45 days.
11Do Not Sell or Share My Personal Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. If you would still like to register a "Do Not Sell or Share" preference, email us at [email obscured] with the subject line Do Not Sell or Share and we will record your preference.
12Children
Renkovi's services are intended for businesses and the adults who run them. The site is not directed to children under 16, and we do not knowingly collect personal information from anyone under 16 (or under 13 in the United States, per COPPA). If you believe a child has provided us with personal information, please contact us and we will delete it.
13Changes to this policy
We may update this policy from time to time — for example, when we add a new processor or when the law changes. The "Last Updated" date at the top of the page reflects the most recent change. For material changes, we will post a prominent notice on the homepage for at least 14 days.
